Before you dive into building out your process library, it helps to understand how Seilers is structured. Every feature in the product is built around a small set of core concepts that work together to give your team a consistent, organized, and scalable way to document how you work. This page explains each concept and shows you how they relate to one another.

Workspace

A Workspace is your team’s private container inside Seilers. Everything your organization creates — every playbook, SOP, template, and setting — lives inside your workspace. When you sign up, you create one workspace and invite your teammates to join it. You control who has access and what they can do. Think of your workspace as your company’s internal knowledge hub. All your processes are organized here, searchable, and available to the right people at the right time. Members only see what they have permission to view.

Playbook

A Playbook is a structured, narrative guide for a repeatable process. It tells the full story of how something gets done — who is responsible, what decisions need to be made, and what steps are involved from start to finish. A hiring playbook, for example, might cover sourcing candidates, running interviews, evaluating feedback, and making an offer. An onboarding playbook might walk a new hire through their first 30, 60, and 90 days. Playbooks are rich documents: they support headings, formatted text, embedded media, checklists, and inline SOPs. They are designed to be read, referenced, and followed as a complete guide.

SOP (Standard Operating Procedure)

An SOP is a focused, step-by-step document for a specific task or procedure. Where a playbook provides the strategic overview, an SOP provides the granular execution instructions. SOPs are especially useful for tasks that must be done the same way every time — screening a résumé, setting up a new employee’s software access, or running a weekly sales pipeline review. SOPs in Seilers use a checklist-first format so team members can work through each step without skipping anything. You can embed an SOP directly inside a playbook section, keeping the high-level guide and the detailed instructions connected in one place.

Template

A Template is a pre-built playbook or SOP that you can copy and customize. Seilers ships with a curated template gallery covering common workflows across hiring, onboarding, sales, and operations. Instead of building a document from scratch, you start from a solid structure, swap in your own content, and have something ready to share in minutes. You can also save any of your own playbooks or SOPs as a custom template, making it easy to reuse proven structures across teams or departments.

Version

A Version is a saved snapshot of a playbook or SOP at a specific point in time. Every time you publish a significant update to a document, Seilers saves the previous state as a version. This means you can always look back at how a process was documented last month, last quarter, or when a particular team member joined. Versions protect your team from accidental changes and give you an audit trail for important processes. You can restore a previous version at any time from the document’s version history panel.

Permissions

Permissions control who can view, comment on, or edit your documents. You can set permissions at three levels:
  • Viewer — can read the document but cannot make any changes.
  • Commenter — can read and leave comments, but cannot edit the content.
  • Editor — can make changes to the document’s content and structure.
Permissions can be configured at the workspace level (applying a default to all documents), at the individual playbook or SOP level (overriding the workspace default for a specific document), or when sharing a link. This flexibility means you can keep sensitive processes private while making others available to the whole company.

Collaboration

Collaboration in Seilers happens directly inside your documents. Any team member with Commenter or Editor access can leave inline comments on specific sections of a playbook or SOP, tag colleagues using @mentions, and resolve threads once the feedback is addressed. This keeps conversations in context — right next to the content they’re about — rather than scattered across email or chat. Comments are visible to everyone with access to the document, so the whole team stays aligned. Editors can also make live changes while others are viewing the same document, and Seilers reflects updates in real time.
Use comments to flag steps that need review, ask questions about a process, or suggest improvements without editing the document directly. This is especially useful for cross-functional reviews where only some participants need edit access.

Integrations

Integrations connect Seilers to the tools your team already relies on, so the right process is always within reach — even outside the Seilers app. You can link your workspace to Slack to receive notifications when a playbook is updated or a comment is added. Google Workspace and Microsoft Teams integrations let you surface playbooks and SOPs directly inside the apps where your team spends most of its time. Each integration is configured from Settings → Integrations in your workspace. You choose which events trigger notifications, which channels or groups receive them, and which documents are in scope. Integrations respect your permission settings — team members only receive links to documents they already have access to view.

Yes. You can create more than one workspace in Seilers — for example, if you want to keep documentation for separate business units, clients, or projects completely separate. Each workspace has its own members, permissions, playbooks, and SOPs. Keep in mind that members are not automatically shared across workspaces, so you’ll need to invite people to each one individually.
Templates are pre-built documents you can use as a starting point. When you create a new playbook or SOP and choose a template, Seilers makes a full copy of that template in your workspace. The original template is never modified — you’re always working on your own copy. You can then edit the structure, rewrite the content, and customize it to fit your team’s exact process. You can also turn any of your own documents into a template by opening the document’s menu and selecting Save as Template.
